Role Overview

The Supervisor, Procurement supervises, controls and oversees the Order management, procurement and import/export operations and related activities ensuring efficient, accurate and correct performance in accordance with the company policies and procedures.

As Supervisor of Procurement you will perform order management, procurement and logistics function ensuring an adequate and optimum service level is maintained in support of production and order fulfillment requirements.

You will coordinate with all applicable internal and external stakeholders ensuring all regulatory and relevant policies and procedures are followed

The Supervisor of Procurement will supervise, coordinate and arrange international transportation and shipping of Order management orders /projects in accordance with the priority required, against lowest cost possible.

You will be in charge of continuously improving operating processes of entity supervised,

What You'll Do

  • Ensure that the activities of the entity supervised follow approved policies and applicable procedures or regulations whilst all tasks are being performed in an accurate, efficient and timely manner.
  • Process and follow up on inquires in relation to Machine status quotes and orders.
  • Closely liaise and communicate with the stakeholder functions for planning, scheduling, production and delivery, to establish efficient and pro-active order processing with on time delivery as per the agreed requested delivery date
  • Monitor control and coordinate the progress of open quotes/orders (per the maintained order schedules) as well as raw material requirements to ensure agreed delivery times are met within the agreed terms and conditions.
  • Ensure quick response and follow up on quoting requirements as per the QRF process
  • Ensure all products are accurately configured according to the customer requirements per the provided worksheet and quote
  • Ensure all pricing and legal language (terms and condition) are accurately reflected and followed on all relevant documentation.
  • Drive all analyses and maintain reports in relation to the machine stock and order process; including corrective actions and process improvement solutions.
  • Adequate corrective follow up on ship-shorts, delivery discrepancies, complaints and issues in order to resolve timely and initiate preventive actions
  • Ensure accurate and retrievable maintenance and filing both hard as soft in SAP of all quote order and delivery related or relevant documentation and correspondence.
  • Forecast (SOP) and ordering of machines, raw parts, service parts via the ERP /MRP purchasing system in such way ensuring that machine supply equals demand and service levels required whilst supporting optimization of overall cost of Machine inventory.
  • Ensure control of inventory and levels by counts, consumption reviews, periodical write off, /scrap and obsolescence proposals considering consumption values and expectations in liaise with management and the inventory analysts.
  • Supervise, coordinate and arrange for international shipment of the assigned order management projects/orders within most cost effective and the correct priority.
  • Verify and approve freight invoice in conformance with the agreed terms and conditions as per the forwarders pricelists or quotes.
  • When required participate in functional meetings and conference calls to provide and receive information in relation to entity supervised.
  • Provide assistance and support on all other departmental tasks whenever required and applicable.
  • When required action on open Purchase orders by expediting and changing of priority
  • Develop, implement and maintain policies procedures, and materials control systems to reduce costs, streamline procedures and implement solutions in relation to the functional area.
  • Be responsible for sourcing and supplying raw materials, and supporting, coordinating global (direct)procurement efforts
  • People management, make sure direct reports has the right competencies, knowledge and motivation. Ensure necessary trainings and cross functional knowledges.

About You

  • Excellent cross functional communication and consensus building skills 
  • Fluent written and spoken Hungarian and English 
  • Service minded and commercial attitude 
  • In depth knowledge of/skills in the content areas of

-SAP experience including relevant ERP tools

-MS office

-Reading and interpreting regulatory and technical documentation

-IGT sales order/production operations/products and workflows

  • In depth knowledge of order management, production, purchasing and logistics.
  • 5-7 years experience international / multinational company
  • Sharing of knowledge and information on functional level, to establish and maintain an efficient and broad logistics workforce.
  • Propose and implement possible process improvements in order to increase efficiency and services.
