OVERALL OBJECTIVE AND PURPOSE

• Reporting to the Accounting Supervisor and the Site Manager for Barbados, the role will support the responsibilities of the Accounting and some Admin functions for the site.  

• The Accounting Coordinator 1 / Administrative Assistant role will be an ambassador for company and will be expected to lead by example, modelling IGT values and reinforcing the company’s mission, vision for the attainment and alignment of business goals and objectives. 

PRINCIPAL DUTIES AND RESPONSIBILITIES

Accounts Payables 

• Reviews prize payments and then entering them in the Accounting database (SAP) 

• Prepares cheque run and printing prize cheques/ direct deposits.  

• Monitors vendor balances and ensure that suppliers are paid timely 

• Prepares cheque run and printing vendor cheques 

• Updates payables file on a weekly basis and present at payables meeting 

• Liaises with vendors and beneficiaries required 

• Prepares and uploading cashier and petty cash journals (need to be transitioned to HCL) 

Document Archiving 

• Scans Cheques, Receipts and Journals and attaching necessary correspondence 

• Scans accounts payables documentation 

Treasury Management 

• Custodian of the company’s petty cash float  

• Reviews float reimbursement for cashiers and the company’s petty cash  

Inventory - Prepaid Instant Tickets & Consumables 

• Completes warehouse monthly stock count 

Fixed Assets 

• Assists with any physical verification of assets 

External & Internal Audits 

• Assists with audit schedules as necessary.  

Taxation 

• Assists with the filing and payment of taxes, in a timely manner.  

Administrative Assistant  

Principle Duties and Responsibilities:  

Performs Operational administrative duties, including but not limited to: 

• Access FLOW accounts monthly to download invoices.  Invoices should be signed by appropriate departments and uploaded to the accounts payable mailbox  

• Reconciles SOL fuel statement against receipts from staff. Liaise with representative pertaining to the fleet accounts 

• Monitors Courier accounts (FEDEX, DHL) ensuring invoices are signed by the appropriate individuals and uploaded to the accounts payable file and folders. Liaise with representatives as necessary. 

• Enables an environment of professional, innovative, timely, efficient service levels across the business 

• Champions IGT’s “Customer First” philosophy, clearly demonstrating and articulating IGT’s mission, vision, values, goals, objectives and targets 

• Performs any additional duties and responsibilities as assigned by the Accounting Supervisor, Site Manager or his designee related to the operation of the business 

REQUIREMENTS

EXPERIENCE

  • At least 2 years’ experience in Accounting

ESSENTIAL REQUIREMENTS

• Familiar with Accounting Systems and Applications. Knowledge of SAP as an asset 

• Advanced Computer Literacy skills, with experience using MS Office programs (including but not limited to Outlook, Word, Excel) 

• Ability to work closely with external agencies such as, BPO 

• Highly professional attitude with outstanding business etiquette, networking, negotiation, interpersonal and communication skills  

• Focused, disciplined and self-motivated, maintaining a positive attitude and proactive, solutions -focused approach, even if performing under stressful circumstances
